Job Purpose
The Events & Conference Coordinator will assist in planning, coordination, reporting and optimization of the events and conferences channel. Modern marketing is equal parts science and creativity - always pushing the boundaries to get the most out of your events and conferences with innovative solutions and an early adopter mentality.
Duties & Responsibilities
- Schedule and manage all attendee pre and post event slack/email communications
- Draft event brief documents with all primary information
- Collect, code and submit all expenses via Rippling expense portal
- Creating and sending all pre-show event social media graphics
- Provide demo booking link to PetScreening attendees
- Uploading event photos to the Google Drive
- Ensuring all post show survey feedback is submitted, reviewed and aggregated
- Assist updating and maintaining the information in the travel and events schedule
- Planning and ordering all event raffle and giveaways where applicable
- Ordering swag and gifts for clients and property visits
- Support badge registration additions and changes
- Support placing third party orders and for booths, supplies, swag, collateral, etc.
- Support preparation and delivery of event briefing meetings
- Ensure all third-party vendor forms are on file for non-credit card payments
- Submit detailed expense descriptions to accounting on all conference expenses
- Active update preparation and participation in all team and cross-functional meetings
- Maintaining a working knowledge of all channel and departmental software, to include updates that impact the team and workflow
- Support other miscellaneous items as assigned
Qualifications & Skills Required
- 1+ years experience in a coordination or planning role
- Proficient with project management software Clickup or comparable software
- Proficient with Canva or comparable software
- Demonstrated ability to work in a fast-paced, ambiguous, “self-starter” environment and manage multiple cross-functional collaboration concurrently
- Excellent critical-thinking and problem-solving skills – able to identify and propose solutions to technical and business issues
- A meticulous sense of accuracy, organization, and attention to detail
- Ability to learn from and incorporate constructive feedback
