About this Role

As the Executive Assistant to the Executive Council, you will provide essential administrative support to multiple senior leaders across departments. Reporting to the Executive Assistant to the President and CEO, this role focuses on day-to-day logistics such as calendar coordination, travel planning, and meeting preparation.

You’ll need excellent organizational skills, strong attention to detail, and the ability to manage shifting priorities, time-sensitive requests, and schedules across multiple time zones. You’ll also help support company-wide initiatives, including leadership offsites and major internal meetings.

What You’ll Do

  • Provide administrative support to multiple members of the Executive Council
  • Manage complex calendars across departments and time zones, anticipating conflicts and proactively resolving scheduling challenges
  • Prioritize and manage time-sensitive requests, juggling multiple tasks and demands
  • Coordinate domestic and international travel, including detailed itineraries
  • Schedule and support internal and external meetings — including agendas, prep materials, follow-ups, and logistics
  • Collaborate with administrative staff across departments to ensure smooth coordination and communication
  • Assist the EA to the CEO/President in planning and executing executive offsites and company-wide meetings
  • Track key deliverables, deadlines, and follow-up actions to ensure completion
  • Draft, proofread, and format documents, meeting notes, and internal correspondence
  • Handle confidential and sensitive information with professionalism and discretion
  • Provide general administrative support and contribute to operational needs as requested

Must Haves

  • Bachelor’s degree or equivalent administrative experience
  • 3–5 years of experience supporting senior-level executives or teams
  • Demonstrated ability to manage multiple calendars and coordinate across time zones
  • Strong time management, organization, and prioritization skills
  • Excellent written and verbal communication skills
  • High level of integrity in handling confidential information
  • Ability to work both independently and collaboratively
  • Dependable, detail-oriented, and proactive
  • Familiarity with event planning and company meeting logistics
