As an Elite Transaction Coordinator, you are a key member of the Compass Expanded Services team, supporting top-producing agents and ensuring real estate transactions are executed smoothly from contract to close. You are highly experienced in real estate processes, detail-oriented, and thrive in a fast-paced, service-driven environment where communication, accuracy, and problem-solving are essential.
At Compass You Will:
- Support multiple top-producing agents in their day-to-day transaction needs
- Manage real estate transactions from contract to close with accuracy, timeliness, and full compliance
- Prepare, organize, and maintain all transaction documents, files, contact sheets, and communications in accordance with company documentation standards
- Track and enforce all critical dates and deadlines, ensuring nothing is missed or delayed
- Gather, organize, and distribute due diligence materials to all relevant parties
- Coordinate communication between buyers, sellers, lenders, title companies, vendors, and internal teams
- Review title commitments and proactively resolve issues (trusts, LLC documents, ILCs, legal requirements, etc.)
- Schedule and coordinate showings, walkthroughs, inspections, and closings as needed
- Ensure all files are fully compliant, properly closed, and commission processing is completed accurately
- Deliver exceptional client service with a focus on smooth, professional, and proactive communication
- Work collaboratively across departments and provide support wherever needed in a team-first environment
- Escalate issues or risks early when deadlines or requirements cannot be met, ensuring leadership is informed in advance
- Own mistakes when they occur, correct them quickly, and apply learnings to improve future execution
- Contribute to the ongoing improvement of systems and processes by providing feedback and identifying inefficiencies
- Maintain strict confidentiality of all proprietary company and client information
- Assist the Open House Program by monitoring the inbox, managing schedule changes, responding to agent questions, and entering times into the MLS for all listings
- Maintain charges and accounting for all listing services, assuring all charges and invoices are complete and correct
- Assist the Listing Coordination team as needed; tasks may include scheduling services for listings, communication between agents, staff teams and vendors, maintaining accurate records in Connect and Monday.
What We're Looking For:
- 4+ years of experience as a Transaction Coordinator, real estate assistant, or 6+ years in the real estate industry
- Ability to close 250+ transactions per year
- Colorado real estate license preferred (or willingness to obtain within 90 days)
- Strong knowledge of real estate contracts, transaction workflows, and compliance requirements
- Experience with MLS, CTMe, ShowingTime, and other real estate transaction systems
- Highly organized with exceptional attention to detail and documentation accuracy
- Strong written and verbal communication skills with agents, clients, and third parties
- Proven track record of delivering excellent customer service in high-touch environments
- Strong analytical and critical thinking skills with the ability to solve problems quickly in ambiguous situations
- Self-motivated, accountable, and able to work independently with minimal supervision
- Ability to manage multiple transactions, deadlines, and priorities in a fast-paced environment
- Team-oriented mindset with a willingness to support other departments and adapt as needed
- Strong commitment to continuous improvement, process adherence, and operational excellence
- MAC OS and general technology proficiency (Microsoft Office, Adobe, web-based systems preferred)
Compensation:
The pay range for this position is a base pay of $30–$36 hourly; however, base pay offered may vary depending on job-related knowledge, skills, and experience. Bonuses and restricted stock units may be provided as part of the compensation package, in addition to a full range of benefits. Base pay is based on market location. Minimum wage for the position will always be met.
