Position Overview
The On-Site Sales Concierge serves as the operational backbone of the on-site sales effort, ensuring a seamless experience for prospective buyers, brokers, and developer stakeholders. Expectation is 10am to 5pm on- site at the Harland 5 days a week (Tuesday to Saturday).
This role is responsible for managing the daily logistics of the sales at The Harland, preparing residences for showings, coordinating appointments, and supporting the listing agents with reporting, follow-up, and administrative functions—allowing the brokerage team to focus on client relationships and closing transactions.
The position requires a highly organized, service-oriented professional who is comfortable operating within a luxury real estate environment and interacting with high-profile brokers and clientele.
Key Responsibilities
Showing Preparation
- Maintain readiness of all showable inventory and model residences
- Prepare homes prior to showings (open curtains, adjust lighting, climate control, staging details)
- Conduct daily walkthroughs of available residences to ensure presentation standards
- Coordinate with ownership, property management and building staff to maintain presentation quality
- Close up property each day.
Broker & Client Coordination
- Serve as the primary on-site liaison for visiting brokers and prospective buyers
- Coordinate and confirm all showings and appointments
- Manage inbound inquiries, phone calls, and email communication
- Welcome guests and ensure a polished and discreet arrival experience, including coordinating with on-site Harland team
Sales Team Support
- Provide administrative and operational support to the listing agents
- Assist with follow-up communication with prospective buyers and brokers
- Maintain CRM updates and track prospect activity
- Prepare daily and weekly sales and traffic reports
Scheduling & Logistics
- Manage calendars for the listing team and coordinate showing schedules
- Ensure appropriate coverage and readiness for broker tours and private showings
- Track and organize upcoming appointments, events, and tours
Event & Marketing Support
- Assist with planning and execution of broker events, client events, and private previews
- Coordinate vendor logistics for events
- Ensure residences and amenity spaces are properly prepared for hosted events
Reporting & Inventory Management
- Review and maintain accurate records of showable inventory
- Track buyer activity, traffic metrics, and broker engagement
- Support preparation of weekly and monthly reporting to the developer and CDMG
Cross-Team Coordination
- Liaise with the Resale Sales Team and Compass Development Marketing Group (CDMG)
- Communicate updates regarding inventory availability and showing schedules
- Ensure alignment between on-site sales efforts and broader marketing strategy
Occasional Sales Support
- Conduct showings when listing agents are unavailable
- Assist in guiding prospective buyers through residences and amenities
- Support listing agents throughout the sales process
Qualifications
- 3–7 years of experience in luxury real estate, hospitality, or sales operations
- Exceptional organizational and communication skills
- Comfortable interacting with high-profile brokers and UHNW clients
- Ability to manage multiple schedules and priorities simultaneously
- Strong attention to detail and presentation standards
- Familiarity with CRM systems and reporting tools
- Active California real estate license
Compensation: The salary pay range for this position is $100,000-$120,000 however, the base pay offered may vary depending on job-related knowledge, skills, and experience. Bonuses and restricted stock units may be provided as part of the compensation package, in addition to a range of benefits. Base pay is based on market location. Minimum wage for the position will always be met.
