Job Description:

We're hiring an Executive Assistant to the CEO/VP of TravelCenters of America. TravelCenters of America operates a nationwide network of travel centers serving professional drivers and travelers across the United States, and is a wholly owned subsidiary of bp.

This role is based in the Cleveland / Westlake area and requires regular in-office presence.

The position supports a highly operational, customer-facing business and is suited to an experienced Executive Assistant who values preparation, clear communication, and getting the details right. The CEO/VP relies on a well-organized executive office and values a professional, respectful working relationship built on trust and clear communication.

Key Responsibilities

  • Act as the primary point of contact for the CEO/VP , handling interactions with discretion, professionalism, and good judgment.

  • Manage complex and frequently changing calendars, proactively prioritizing and adjusting schedules as needed.

  • Coordinate internal and external meetings and events, including logistics, agendas, minutes, and follow-up actions.

  • Plan and manage domestic and international travel end-to-end.

  • Prepare and reconcile expense reports accurately and on time.

  • Draft, format, and proofread presentations, reports, correspondence, and other executive communications.

  • Screen and manage incoming communications, prioritizing appropriately and ensuring follow-through.

  • Support select leadership initiatives connected to the CEO/VP’s priorities, including coordination and tracking actions.

  • Build effective working relationships with senior leaders, teams, and external partners.

  • Maintain organized document repositories and collaboration tools (e.g., Microsoft Teams).

  • Perform additional administrative and coordination tasks as required.

Qualifications

  • High school diploma required; additional education or professional training preferred.

  • Minimum of 8 years of administrative experience, including at least 5 years supporting senior or executive-level leaders.

  • Experience supporting executives in fast-paced environments with competing priorities and frequent change.

  • Proven ability to manage complex calendars, travel, and meeting logistics using sound judgment.

  • Strong ownership mindset, with the ability to anticipate needs and resolve issues proactively.

  • Demonstrated discretion and integrity when handling confidential or sensitive information.

  • Advanced proficiency in Microsoft Office and collaboration tools (Outlook, Word, Excel, PowerPoint, Teams).

  • Strong organizational skills, attention to detail, and follow-through.

  • Experience supporting leaders in operational, multi-site, or customer-facing environments preferred.

  • Ability to work on-site within a commutable distance of the Cleveland / Westlake area.
