Job Description
The individual will manage the back-office data processes and setups to allow timely and accurate data transfer between fuel suppliers (via Axxis), Fuel Supply (via Fuel Shepherd) and Fuel Accounting (SAP).
Duties and Responsibilities
- Manage the resolution of data transfer errors between Fuel Shepherd and SAP (SAP errors).
- Determine the root cause of missing pricing requests and aid in the resolution.
- Ensure all available spot options are showing on the source list in Fuel Shepherd. Audit monthly and ensure new supply points are set up. Track the source list project metrics.
- Lead the Fuel Admin team in adopting a more streamlined approach to managing new and expiring contract pricing formulas. Manage the Fuel Shepherd Contract Management Screen. Enter new diesel supply contracts into the application. Communicate new and expiring supply contracts to the Fuel Accounting team each time there is a change. Review new contracts and request new vendors as needed. Maintain the master file template for contract data.
- Manage the Wholesale Setups process in Fuel Shepherd and SAP.
- Assist with Invoice Verification Process (last step of the Vendor Creation process) to ensure the correct pricing is being calculated based on our contract formulas, rack, or day deal pricing. Monitor ServiceNow to ensure all requests are completed in a timely manner.
- Identify mismatched pricing and work with Fuel Admin team and Accounting to find a resolution. Assist with pricing research and historical data transfer between Axxis and SAP. Actively, reduce reversals for pricing errors.
- Assist the manager of Fuel Administration with systems enhancements related to ServiceNow, Fuel Shepherd, Cognos, BW and SAP.
- Assist with Freight related tasks including initial setup, increases, Fuel Surcharge updates, carrier disputes and entering missing rates as needed. Ensure that all of Fuel Admin is trained as a backup and that SOPs and training documents are kept up to date. Consider future integration in Fuel Shepherd.
- Maintain Fuel Shepherd Configuration Tables including but not limited to Sites, Markets, Regions, Carriers, Suppliers, Vendors
- Create a process for identifying missing prices and freight sooner.
- Assist with data analysis and reporting to support various business needs, including wholesale, diesel and gasoline RFPs, open load tracking, biodiesel/renewable diesel reporting, margin analysis, and other management-driven initiatives.
- Identify New market pricing to be captured in SAP for historical analysis. Work with Fuel Admin to link pricing between Axxis and SAP. Ensure the Source Quote Cross Reference is accurately maintained.
- Vendor Creation, Contract Pricing Setup and other related tasks as needed.
- Back up Fuel Admin team to ensure that both servers (Axxis 1-pricing and Axxis 2-ebols) are working as expected. Know basic troubleshooting and who to contact for more complex issues.
- Assist with Special Projects and Testing as needed.
- Work to improve overall Fuel Admin process.
- Assist in training and process documentation for the Fuel Supply team.
- Track open projects within the group.
- Track Day Deal agreements and pricing. Evaluate Day Deal Purchase Performance.
- Ensure day deal pricing is entered into the tracker and SAP in a timely manner.
- Review and balance site ZFIRS for all products.
- Ensure all unmatched electronic BOLs are linked with the appropriate Fuel Shepherd Load IDs.
- Complete any prior day open orders in Fuel Shepherd each morning.
- Work to reduce reversal rates by identifying and tracking root causes, proposing solutions, and collaborating with the broader fuel team and carrier partners to ensure accurate and complete data entry in the cBOLs section of Fuel Shepherd.
Qualifications
- Relevant business experience.
- PC proficiency with emphasis on SAP and Windows-based Excel, Word and PowerPoint.
- Excellent written and verbal communication skills.
- Strong people skills required to positively impact cross-functional teams.
- Strong analytical skills required.
