The Document Control Team Lead is responsible for the oversight of third-party refinery Information Management Document Control support, TSI FBT resources, and the BP Technical Drawing Specialists
This role ensures adherence to BP Best Practices and Standards in managing established document control processes. These processes include the approval, publication, transmission, storage, change management, retention and disposition of identified controlled information and drawings for the Refinery, in both hard copy and electronic formats.
The Documents Control Team is part of the Information Management (IM) Team and reports functionally to the Information Management Superintendent
Key Accountabilities:
Provide oversight and establish priorities for the IM Document Control Team (IMDCT); prioritizing responsibilities to meet business strategy and goals.
Work directly with the Refinery Information Management Superintendent, offering solutions to implement IM Practices to ensure alignment with OMS 4.3 in the approval, publication, transmission, storage, change, retention and disposal of site-controlled documents
Management of Refinery File Plans, Document Control Registers, and changes in BP Records Retention Schedule as applied to site retention methodology.
Performs the OMS Self Verification audit process for Refinery Practices and Procedures, collaborating with the site OMS Administrator
Drive the control of site critical information by ensuring compliance and quality control with operational standards and implementing the strategic evolution of the Document Control program.
Assist the Refinery IM Superintendent with closure of S&OR audit action items
Manage the handling of information, including but not limited to, the auditing of documents and drawings, preparation of internal and/or external distributions, imports of information into site repository, on/off site archiving, indexing, cross referencing and destruction processes.
Provide internal and external customer service while working with groups/ departments in the final handover of electronic documents and data into the Bentley-ALIM system, ensuring the improvement of information accuracy and efficiency regarding attributes, numbering, retention code, and naming conventions.
Responsible for training the Refinery in the filing of electronic documents, applied retention, and revisioning protocol in coordination with the Bentley-ALIM system as well as the management of paper documents including retention, offsite storage, and disposition
Facilitate onboarding and refresher training for all site employees and contractors on established IMDCT practices, procedures, and standards.
Collaborate and assist with cross-functional IM teams to ensure document compliance.
Responsible for the creation and development of both internal and external IM procedures, guides, and comprehensive training materials as needed.
Analysis of IM related business processes, identifying gaps and implementing solutions.
Requirements:
Associates degree required in IT, Engineering, Management, or Business-related field
Bachelor’s degree preferred or equivalent experience in IT, Engineering, Management, or Business-related field preferred
3 Years Experience in Information Management, Information Technology or Engineering required in a Refining or Manufacturing Plant atmosphere required
3 Years Experience in using an Electronic Document Management System required
3 Years Experience in managing engineering documents or drawings required
Supervisory experience required
Records Management experience preferred
Technical writing experience helpful
Strong organizational, multi-tasking, interrelationship and communication skills
Ability to set clear direction, priorities, and boundaries
Exhibit Leadership and Professionalism
Experience with Bentley-ALIM and SharePoint online
Proficient in the English language in both writing and speech
Clear ability to supervise and train others
Ability to continuously improve by defining and implementing ways to perform tasks better, faster, and more efficiently
Flexible in handling project assignments and schedules
Demonstrates drive and determination to achieve milestones/goals
Experience in writing practices, procedures, guides.

Adept in Microsoft Office Applications (word, excel, power point, etc.)
Experience producing and handling electronic file formats including DOC, XLS, DWG, DGN, PDF, JPG and TIF. The viewing, creation, editing, plotting and printing as required of these files
Ability to distinguish between the various types of documents created during the lifecycle of an engineering project.
Ability to understand requirements and communicate openly and clearly with all members of the team
