Business Support Junior Specialist – Retail Operations
The role holder will be responsible for supporting customer care activities and ensuring the smooth handling of financial, contractual, and compliance-related processes that underpin the operation of bp’s/Aral’s company-owned and dealer-operated service stations. By managing billing, vendor setup, and contractual obligations, you will safeguard operational continuity and compliance while enabling our retail network to run efficiently. Your contribution directly supports bp’s/Aral’s strategy of operational excellence, robust governance, and disciplined financial management.
In this role You will:
- Ensure Customer Careline Support: Handling of careline/social media service provider inquiries, temporary processing of fuel complaints, support in litigation procedures with external and internal lawyers, and drafting of text modules for careline/social media service providers.
- Energy cost management: Booking of electricity invoices for retail stations as well as registration and de-registration of electricity meters, depending on decap/NTIs.
- Compliance & controls: Execution of Counterparty Due Diligence checks for new retail sites as well as ongoing controls for existing partners, in line with internal requirements.
- Financial administration: Handling of fuel sales/purchases of residual volumes during service station takeovers or transfers. Preparation of the purchase agreement. Processing of payments in SAP. Monitoring of incoming transfers.
- Accounting & payments: Creation of POs and approval of LEBs after review, booking of non-PO invoices, and administration of pension contributions for service station partners. Completion of transfer forms for customer payments.
- Contract & communication support: Management of service station card topics (SPA for contracts, controlling, and communication).
- Systems & vendor management: Creation and maintenance of vendor records in SAP.
- Maintenance of the E&C register.
What You will need to be successful:
- Completed commercial training or degree in business administration, finance, or a related field, equivalent experience may be considered
- Experience in finance operations, or business support, ideally within a corporate or retail environment.
- Strong knowledge of SAP (PRE/TP1) and common MS Office applications (Excel, Outlook, PowerPoint).
- Familiarity with compliance requirements (e.g. CDD checks, Aravo-Tool) is an advantage.
- Strong understanding of contracts, laws and legal matters in German for contract drafting and individual development
- Analytical skills with attention to detail and accuracy.
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Strong communication skills in English and German and the ability to collaborate across teams, with external suppliers as well as local contractors in Germany
- A proactive mindset with the willingness to improve processes and ensure efficiency.
